Before You Begin

  • Make sure you are logged in to T360 with your staff credentials.

  • Your role allows access to the Parent/Guardian section


Overview

The Parent/Guardian page allows staff to view and manage the contact, identification, and personal information of a student's parent or guardian. A student can have up to two legal representatives, each shown as its own card.

Each Legal representative card may include:

  • Relationship to the student (Mother, Father, or Guardian)

  • Name and contact information — email, one or more phone numbers, and a preferred contact method

  • Identification details — a passport or ID card number, plus an uploaded copy of the document

This information is collected during registration and can be added or updated later if changes are required.


Viewing Information

Navigate to a Student Profile → Parent/Guardian page to view the student's information.

  • If no parent or guardian has been added yet, the page shows only an Add a parent or a guardian button.

  • Once added, each parent or guardian appears as its own Legal representative card, displayed in read-only mode by default.

Adding a Parent or Guardian

To add a new parent or guardian:

  1. Open the Parent/Guardian page.

  2. Click Add a parent or a guardian.

  3. Select the relationship: Mother, Father, or Guardian.

  4. Enter the name, email, and phone number(s), and select a preferred contact method.

  5. Choose an identification document type (Passport or ID card), enter the document number, and upload a copy.

  6. Click Update information to save, or Cancel to discard your changes.

A student can have up to two legal representatives. The Add a parent or a guardian button is hidden once two have been added.

Editing Information

To update an existing parent or guardian's information:

  1. Open the Parent/Guardian page.

  2. Click Edit on the Legal representative card you want to update.

  3. Modify the necessary fields.

  4. Click Update information to save your changes or Cancel to discard them.

The system validates all required fields before saving.

Deleting Parent Information

  1. Click Delete parent information on the Legal representative card you want to remove.

  2. Confirm by clicking Delete in the dialog that appears.

This action can’t be undone.

History

Each section maintains a history of changes.

To view previous updates:

  1. Open the relevant section.

  2. Click History.

  3. Review the list of changes, including:

    1. Updated field values

    2. Date and time of the change

    3. Staff member who made the update


Important Notes

Student personal info containing pages can be configured

Centers can decide which student information fields are relevant for their operations, while maintaining a set of required core fields.

Field visibility is configured once and automatically applied across the system.


  • Only staff with an appropriate role have access to this page
  • Enabled fields are available in the Student Profile pages.
  • Disabled fields are hidden from the Student Profile pages.
  • Centers that use Online Registration will see the same configuration reflected in their registration form.
  • Changes take effect immediately.


For example, if a center does not collect a student's Middle Name, the field can be disabled and will no longer appear in the Student Profile. If the center uses Online Registration, the field will also be removed from the registration form.
